SACAP Vacancy : PA to the Chief Operations Officer (COO)

The South African Council for the Architectural Profession (SACAP) is a regulatory body for the Architectural Profession.  SACAPs primary role is to protect the public by maintaining a register of Architectural Professionals, within the profession through a Code of Professional Conduct, the identification of work that may be performed by registered persons and publishing guidelines for professional fees.

SACAP is looking for a dynamic, enthusiastic and energetic person to join as a PA to the COO.

Position:  PA to COO

To manage and coordinate the office of the COO by providing administrative and secretarial support

Role Description: The candidate will be responsible for the following:

Diary Management

Manage COO’s diary;
Alert COO and affected people of appointments and changes. 

Office and Resource Management

Coordinate activities in relation to performance management and development of the COO’s direct reports;
Manage risks, safety and security in the COO’s office;
Manage the budget for the COO’s office;
Manage tools of trade and equipment provided to the COO’s office;
Prepare management reports and presentations for submission by the COO.

Document and information management

Develop and manage document and information management system;
Handle COO out-tray and file documents.

Co-Ordination of COO meetings

Handle logistical arrangements for meetings;
Compile minutes of meetings;
Collate submissions/ reports from identified people.

Customer Relationship Management

Answer all telephone calls;
Handle correspondence and enquiries from stakeholders;
Receive visitors to COO’s office.

Coordination of special projects in the COO’s Office

Act as Project Administrator when there are special projects in the COO’s office;
Note: It is the inherent requirement of this job that the incumbent must be prepared to work outside normal working hours per arrangements with the superior.


Secretarial Diploma;
Minimum of 5 years’ experience in a secretarial role;
Business and report writing experience;
Project Management exposure will be an advantage;
Computer literacy;
Excellent communication (verbal and written), especially in English;
Customer service excellence;

In this position you will be reporting to the Chief Operation Officer.
